Qualifications & Competencies

Experience & Knowledge

  • Minimum 7 years of superintendent experience on luxury or high-end residential projects.
  • Proven track record of delivering projects on time, within budget, and at the highest quality level.
  • Deep familiarity with custom residential construction methods, finishes, and sequencing.
  • Proficiency in reading and interpreting architectural, structural, and MEP drawings.

Technical Proficiency

  • Strong understanding of local building codes, DOB/permit processes, and inspection protocols.
  • Experience with construction management software (e.g., Procore, Bluebeam, MS Project, Buildertrend).
  • OSHA 30 Certification required; additional safety training preferred.

Leadership & Communication Skills

  • Excellent leadership and conflict resolution skills with the ability to motivate and manage diverse teams.
  • Strong interpersonal skills and professionalism in representing Reis to clients and stakeholders.

Our Junior Estimator plays a critical role in supporting the preconstruction and business development process by assisting in the preparation, coordination, and tracking of project estimates and proposals. This position often provides clients, subcontractors, and suppliers with their first exposure to Reis Contracting’s professionalism, attention to detail, and commitment to quality.

The Junior Estimator’s work product contributes directly to Reis’ competitive positioning in the marketplace. Project proposals, cost analyses, and supporting documentation must reflect the highest standards of accuracy, organization, and professionalism, aligning with the company’s portfolio, values, and brand image. They will work closely with the Project Executive, Chief Estimator, Project Managers, and Marketing team to ensure proposals are complete, accurate, and submitted in accordance with company standards and deadlines.

Key Responsibilities:

Estimating & Preconstruction Support

· Log all RFPs, bid documents, and related materials on the company server in accordance with established procedures

· Review bid documents, drawings, and specifications to develop a thorough understanding of project scope and requirements

· Prepare and organize bid folders and documentation for each project

· Contact Architect/Designer to confirm Reis’ intent to bid and prepare RFIs for clarification of scope or documentation gaps

· Develop and maintain drawing logs and document tracking systems

· Prepare and transmit RFPs to subcontractors and vendors on approved bid lists

· Conduct follow-up communication with subcontractors to confirm participation and bid deadlines

· Coordinate site visits with Architect/Designer and subcontractors as required

· Assist in preparation of in-house cost estimates and scope outlines for all trades

· Assist in preparation of project schedule outlines to support General Conditions costing

· Receive, review, and qualify subcontractor bids

· Assist in reconciling subcontractor bids with internal cost estimates

· Assist in reviewing subcontractor delivery commitments relative to project schedule

· Prepare draft proposal documents and supporting materials

· Participate in proposal review meetings with Chief Estimator and Project Executive

· Revise proposal documents based on management review and direction

· Coordinate proposal formatting and accuracy review with Marketing team

· Assist in obtaining final approvals and sign-offs from designated leadership

· Deliver final proposal documents to Architect/Designer and internal distribution lists

· Follow up with recipients to confirm delivery and provide clarification as needed

· Archive bid documents in accordance with company procedures

Subcontractor & Vendor Coordination

· Develop and maintain subcontractor and vendor relationships

· Assist in building and updating subcontractor bid lists

· Maintain subcontractor contact information and performance tracking

· Coordinate subcontractor outreach and communications

· Track subcontractor participation and response rates

Project Hand-Off

· Prepare project hand-off documentation and project startup materials

· Participate in project hand-off meetings with Project Management and Field Teams

· Assist in reviewing final estimate assumptions and scope clarifications

· Ensure all relevant bid documentation is transferred to the Project Team

Internal Department Responsibilities

· Maintain estimating project log and department workflow schedule

· Maintain subcontractor database for each division

· Maintain cost database and historical project cost information

· Assist in development and organization of estimating standards and procedures

· Support development of estimating templates and tools

· Assist with estimating department process improvements

· Support internal training initiatives and documentation

Administrative & Reporting Responsibilities

· Track proposal deadlines and deliverables

· Maintain organized electronic and hard copy files

· Assist in preparation of presentations and proposal materials

· Support reporting on bid success rates and estimating metrics

· Assist with market research and cost trend tracking

Front Desk & Guest Experience

· Greet all visitors, clients, and employees with professionalism and warmth.

· Maintain an organized and polished reception area.

· Serve as the positive corporate facing representative for the NYC office

· Manage incoming corporate inquires, mail, and package deliveries.

Administrative & Cross-Functional Support

· Assist corporate operations with onboarding support, workspace setup, and event logistics.

· Serve as Corporate Culture Lead, including:

· Managing the digital employee suggestion program;

· Scheduling and facilitating monthly culture committee meetings

· Planning and executing employee engagement initiative

· Coordinate, maintain budget and planning for NYC corporate, culture events.

· Maintain facility-related records, procedures, and documentation

· Open, review and distribute 286 mail as required

· Assist HR with employee training coordination and SST administration, as needed.

· Support project teams with permit renewals and administrative requirements.

· Expedite Overnight mail as required.

Office Services & Supply Management

· Oversee ordering and inventory of office, kitchen, and janitorial supplies.

· Coordinate and manage daily catering needs (breakfast and lunch), ensuring dietary preferences are accommodated.

· Manage conference room schedules and ensure meeting spaces are prepped and clean.

Workplace & Facilities Operations

· Act as the primary contact for all NYC office facility-related needs and services.

· Coordinate repairs and maintenance with internal personnel & external vendors (e.g., HVAC, lighting, janitorial, plumbing).

· Monitor and track open facility tickets and service requests to ensure timely resolution.

· Conduct regular walkthroughs to assess cleanliness, functionality, and overall condition of the office.

· Ensure compliance with local building codes and workplace safety standards.

Vendor Management

· Schedule and coordinate third-party vendor services, including facilities maintenance, cleaning, catering, and equipment repair.

· Ensure service vendors meet agreed-upon quality standards and timelines.

· Maintain vendor contact information, agreements, and service logs.

 

COI, CS & MSA Management

· Assist the CS Team with the COI request, collection and recording keeping to the server for all projects on an as-needed basis.

· Assist the CS Team with Request, Issuance and recording keeping of all MSA Agreements.
